Mail Processing Manager

The position includes supervising incoming and outgoing mail processing for domestic and international areas; coordinating the shipping and receiving of mail, goods, office supplies and literature; supervising shipment by and delivery to USPS, UPS, DHL and FedEx; coordinating and administering distribution and maintenance of files and records of DVDs and CDs; by performing the following duties. Other duties may be assigned.

  • Supervises the daily processing of incoming mail, including keeping reports and files of amounts, source codes and type.

  • Supervises the daily processing of incoming and outgoing mail through the USPS and common carriers such as DHL, UPS and FedEx.

  • Prepares addresses for daily and weekly literature fulfillment using computer and mailing software.

  • Performs label pulls for Church’s regular publications, and directs them to appropriate outsource mailing houses.

  • Supervises outgoing mail for appearance and correct postage amounts. Ensures that postage is correct according to destination, class and content. Keeps record of registered mail.

  • Evaluates the most cost-effective method to mail magazines, newsletters, booklets and other materials, including correct postal sorting. Educates staff on lowest cost shipping and mailing methods. Stays up to date on latest postal trends and cost-cutting measures.

  • Supervises inventory of mailing supplies (envelopes, tape, bubble wrap, etc.) and office supplies (paper, pens, pencils, file folders, etc.).

  • Coordinates receiving of mail and deliveries.

  • Supervises mailings of sermon DVDs and CDs. Keeps title logs of electronic materials and stores extra inventory by log number.

  • Supervises organization of mailing room and literature warehouse. Estimates required literature quantities and coordinates with managing editors the inventory requirements.

  • Supervises additions and changes to address and name records in the data system for Church members and subscribers.

  • Interfaces with international Church offices concerning exchange of mail, literature supplies and mail processing procedures.

  • In Addition, performs donation processing management functions for Financial Services department—including opening mail and processing donations, tabulating donations, data entry, preparing bank deposits, processing changes of address requests of donors and members, importing online donations made on Church’s donation Web page and on PayPal, sending daily income reports to management, and posting donation batches.

A college degree or equivalent and four years related experience and training in advanced computer skills, typing and office duties is required. Experience working with databases, Web-based applications, mail and general office duties is essential.

Potential employees must be baptized members (in good standing) of the United Church of God. Applicants must be biblically literate and possess a thorough working knowledge of the doctrines, beliefs and practices of the United Church of God. This position requires the candidate to work at the Church’s Cincinnati office.
